In many small and mid-sized companies the monthly management report is still a manual ritual: export data from the ERP, paste it into several spreadsheets, cross-check it, review formulas and build the tables. It takes days, depends on one or two people and arrives late. Power BI turns that process into a dashboard that updates itself.
What Power BI is and why it suits SMEs
Power BI is Microsoft’s data analysis tool. It connects to your data sources (ERP, Excel, databases, SharePoint), combines them in a model and shows the KPIs in interactive dashboards you can open on desktop or mobile. If your company already uses Microsoft 365, the learning curve is small.
From Excel to dashboard in four steps
- Decide which questions to answer. Sales by customer, margin by project, cash forecast, outstanding receivables… A few well-chosen KPIs beat fifty charts.
- Automate extraction. We connect directly to the ERP where possible or schedule a robot that extracts the data daily or weekly.
- Clean up the data. We consolidate duplicated concepts, remove intermediate tables and leave a clean structure to build on.
- Design the dashboards and schedule refreshes. The report refreshes itself and everyone sees the information they need.
What changes day to day
- Management has up-to-date figures when they need them, not halfway through the next month.
- No more competing versions of the same spreadsheet: there is a single source of truth.
- The finance team stops building reports and starts analysing them.
- Scenarios can be simulated by changing assumptions, without rebuilding spreadsheets.
Common mistakes
- Trying to measure everything from day one.
- Building the dashboard on messy data: the result will be just as messy.
- Not defining who owns each KPI.
An example
For a railway maintenance company we designed a control system connected to SAP: a robot extracts the information, stores it in a clean database and Power BI presents it alongside the business plan. More projects in our case studies.
